1. Objective

The growing NRC Guatemala City office is seeking a Support Coordinator for its team. Their main responsibilities include General Coordination of Operations, Systems and Reports, Finance, Human Resources, Logistics, Personnel Management, and other duties specific to the position.

2. Main Responsibilities:

General Coordination of Operations, Systems and Reports (25%)

  1. Ensure consistency, homogeneity and quality in the processes and support activities carried out in all offices in Guatemala, as well as carry out the application of internal control in the Area Offices in accordance with NRC policies and manuals, such as: Financial Manual, Logistics Manual, Human Resources Manual, Anti-Corruption Policy, Document Filing SOP, Travel SOP, among others.
  2. Ensure proper operational planning of Support needs, maintaining coordination and regular flow of information with program managers.
  3. Identify areas for improvement and design implementation plans to improve the efficiency of the use of resources assigned to the Guatemala office.
  4. Identify, monitor and consolidate the main performance indicators of the support area (KPI), proactively analyzing the results and proposing areas for improvement.
  5. Analyze processes and design plans to increase efficiency in processes, activities and support structures.
  6. Prepare reports for AO and CO as needed.
  7. Maintain an adequate support structure for the Guatemala office.

Finance (15%)

  1. Preparation of support budgets for the Guatemala office.
  2. Assist in the financial monitoring of projects executed in Guatemala, analyzing and suggesting actions in the event of possible budgetary deviations
  3. Be responsible for the budget for Guatemala’s support expenses up to the established limit.

Human Resources Supervision (15%)

  1. Lead communications and negotiations with external legal advisors in Guatemala.
  2. Assist in employee lifecycle management. Monitor processes that are carried out in accordance with country office guidelines and validate compliance with labor legislation.
  3. Assist in complex disciplinary processes.

Logistics (20%)

  1. Identify areas for improvement in the efficiency and operational functionality of logistics processes and establish clear improvement plans for the unit.
  2. Implement and monitor logistics improvement plans.
  3. Ensure the office has logistical procedures in place to enable timely emergency response, including progress with framework agreements, updated supplier databases and generation of SOPs for emergency procedures.

Personnel Management in Charge (20%)

  1. Provide the team under your supervision with performance and development support in the organization
  2. Establish clear development plans and assist your teams in their progress and achievements.

3. Professional Competencies:

Required:

  • Minimum 3 years of experience in positions of financial responsibility, human resources management, administration and logistics, in humanitarian contexts.
  • Work experience coordinating the areas of Logistics, Finance and HR in a humanitarian aid context.
  • Proven experience in tax matters for NGOs/Civil Associations/Authorized Donor.
  • Verifiable experience related to the responsibilities of the position.
  • Verifiable knowledge of labor matters and application of the Labor Law in Guatemala.
  • University professional in economic, financial, administrative sciences or related fields (Economics, Business Administration, Public Accounting, etc.), with postgraduate studies in related areas.

Desirable:

  • Previous experience working in complex and volatile contexts.
  • Knowledge of the skills specific to the leadership and staff supervision profile.
  • Written and verbal fluency in the English language.
