The Danish Refugee Council (DRC) is one of the world’s leading humanitarian NGOs, working in more than 40 countries to provide assistance with a rights-based approach to refugees, asylum seekers, internally displaced persons, returnees and other people in need. mobility, as well as vulnerable local populations/host communities. DRC is currently seeking a highly qualified individual for the position of Human Resources Assistant, based in Caracas, Venezuela.

Purpose of the position: The Human Resources Assistant will be responsible for providing administrative, operational and/or technical support in the DRC operation processes when the operation requires it, in accordance with the internal framework of DRC Venezuela, the regulations imposed by donors and the regulations. Venezuelan will be under the supervision of the Human Resources team leader.

Responsibilities:

Recruitment and selection.

  • Carry out and monitor each of the personnel recruitment and selection processes. Tracking candidates, sending technical tests, collecting documents, updating the selection tool (HR Recruiter) and support in the different steps of the selection, hiring and entry process of new personnel.
  • Support in feeding the ERP system in relation to the Human Resources module.
  • Keep the folders associated with recruitment up to date (CV, list of candidates, interview guides).
  • Ensure the correct creation of worker files and keep the information updated.

Hiring, documentation and new income:

  • Ensure employee extensions in the ERP, as well as the corresponding documentation (updated contracts).
  • Channeling new income (bank accounts, application for cards, completion of mandatory courses, signing of the code of conduct, complete entry kits).
  • Keep the Human Resources officer informed about new income, for their correct inclusion in parafiscal and collective health insurance.
  • Ensure notification of new entries and promotions within the organization.

Induction Program:

  • Plan and schedule induction program sessions and ensure that all new entrants attend sessions.
  • Ensure that all presentations are executed and support each facilitator with time management, submission of forms and program evaluation
  • Analyze the data from the forms to review and establish improvement in the program.

Communications:

  • Create monthly communications plan (payroll calendar, holidays, important dates).
  • Notify nationally of new hires, promotions and employee birthdays.

Others:

  • Support the activities of Human Resources of Venezuela when the level of the operation requires it.
  • Support the team with different activities depending on the operation.

Experiences and skills:

  • Minimum one (1) year of work experience performing Human Resources administrative tasks, preferably related to an NGO or other non-profit organization
  • Good knowledge of Microsoft Office programs (Excel, Word and Power Point)
  • Cultural sensitivity and ability to work in an intercultural environment
  • Ability to handle sensitive and confidential information
  • Capacity for teamwork
  • Ability to organize, plan and prioritize activities.
  • Strong interpersonal and intercultural skills and communication skills, both oral and written
  • Willingness and ability to learn

Education

Professional in Administrative Sciences, Occupational Health, Psychology with organizational emphasis or related.

Desirable: Intermediate English language skills.
