- Ensure that documentation of data, account assignment and book-keeping entries of Finance Assistant are carried out correctly in accounting software.
- Ensure the quality of vouchers and supporting documents as per WHH, donor standards and Ukrainian legislation.
- Provide necessary data to monitor the cash-flow situation and plan the project/program (annual/monthly) finances.
- Ensure the liquidity of the project in coordination with Head of Project and Country Office Finance.
- Assist in monitoring expenditures/costs, Budget vs Actual (Budget control)type and cost category with regards to the budget.
- Check the necessary documentation for banking transactions (deposit cash or cheque, cash cheques, transfer letters, etc.).
- Review partner reports in cooperation with partners’ financial teams and register partner reports into financial software.
- Support assessments/capacity building of partner organizations.
- Follow up on and arrange monthly closure process including accounts receivables and payables settlement (e.g. payment of utilities).
- Responsible for the project shared cost allocation on monthly basis.
- Provide necessary documents and reports (BvA’s, monthly expenditure forecast (specific to staffing and Operational cost) for internal controlling.
- Participate in preparation of financial internal and donor reporting (monthly closures, annual financial statement, interim and final donor reports).
- Assist Head of Project and Country Office Finance team in budget development and budget revisions.
- Promote safety awareness and environmental consciousness and comply with all applicable safety and environmental procedures and regulations.
- Promote and take an active part in quality improvement processes (Professional and office environmental).
- Comply with labor discipline, labor protection and safety rules, fire-prevention requirements, industrial sanitation and labor hygiene rules, Safety, and Environmental regulations and guidelines.
- Any additional related tasks assigned by the supervisor.
Specific Qualification
- Intermediate to fluent level of verbal and written English
- Knowledge of labor discipline, labor protection and safety rules, fire-prevention requirements, industrial sanitation and labor hygiene rules.
