The Danish Refugee Council is one of the world’s leading humanitarian NGOs, working in over 40 countries to provide appropriate assistance and protection to refugees, asylum seekers, internally displaced persons, returnees, people on the move and vulnerable local population/host communities. DRC is currently looking for a highly qualified Supply Chain Assistant based in Catatumbo – Santa Barbara del Zulia, Venezuela.
About the work:
DRC is managing its operations in Venezuela, led by the country office in Caracas and three field offices located in the states of Sucre, Apure and Zulia. DRC Venezuela is implementing activities such as protection monitoring, legal assistance, individual protection assistance for PWSN, briefings for PoC, prevention of human trafficking, rehabilitation of health infrastructure and food security.
Job Objective: Support activities related to logistics coordination, ensuring compliance with DRC procedures and guidelines in the Caracas office and providing support when required to other offices in the country.
Responsibilities:
Shopping:
- Ensure that all purchase requests are tracked from the point of planning and request to final receipt.
- Correct document management of the processes involved with the logistics area
- Prepare relevant documents for the acquisition of goods and services.
- Participate in the evaluation of bids and proposals and ensure that the bid evaluation report, technical evaluation, minutes of negotiations and negotiated contracts in the selection of consultants contain all facts and information necessary to justify the recommendations made in the report.
- Participate in the joint verification of purchased goods and equipment and verify the conformity of the items with technical specifications and quantities.
- Check that all old and new assets are correctly recorded and labeled.
- Perform physical asset verification.
- Track inventory
- Monitor deliveries and dispatches from DRC warehouses and complete necessary documentation.
- Support for minor purchases.
- Follow-up on returns or claims with suppliers.
- Follow-up on periodic payments to suppliers and review of supplier billing as negotiated.
- Maintain good communications with warehouse staff at other DRC locations and partner organizations.
Logistics:
- Make the requests and processes required for the South Lake office, in accordance with the annual purchasing plan prepared by the organization.
- Support the request and monitoring of transfers and accommodations required for the development of planned activities.
Billing and Travel:
- Manage staff hotel purchasing and booking according to existing procedure
- Execute the purchase and management of tickets for staff trips
- Serve as a focal point for the consolidation of the travel and lodging process to ensure that the greatest efficiencies are achieved for the organization.
Experience and technical skills:
- Vocation of service
- Focus on detail
- Ability to self-organize
- Knowledge and interest in the humanitarian sector
- Intermediate knowledge of Excel
- Advanced Office and Adobe PDF Handling
- Analytical capabilities
Education
• Professional with 2 years of experience (Administration, Logistics and related fields are desirable but not limiting)
Languages
• Native Spanish
• Basic English
