They will provide support to the Survey Director and senior management, implement administrative and financial procedures, manage office operations, and organise travel and events within the Administration unit.<\/p>\n<p><strong>Specifically, the executive assistant will:<\/strong><\/p>\n<ul>\n<li>be the primary point of contact for internal and external stakeholders, representing the Director professionally and effectively in various interactions;<\/li>\n<li>draft, review and send communications on behalf of company executive(s) upon request;<\/li>\n<li>organise and prepare for meetings, including gathering documents and attending to logistics of meetings;<\/li>\n<li>support all staff members in their travel arrangements;<\/li>\n<li>support researchers in the organisation of events;<\/li>\n<li>help with consultants\u2019 contracts paperwork;<\/li>\n<li>coordinate internship application and selection processes;<\/li>\n<li>support the heads of units with data protection related tasks;<\/li>\n<li>liaise with suppliers;<\/li>\n<li>check Survey credit card monthly statements;<\/li>\n<li>maintain a dashboard for travel insurance cost reallocation;<\/li>\n<li>liaise with IHEID FM team for logistical needs; and<\/li>\n<li>liaise with IHEID IT team.<\/li>\n<\/ul>\n<p><strong>We are looking for candidates who fit the following profile:<\/strong><\/p>\n<ul>\n<li>Bachelor\u2019s degree supplemented with appropriate professional experience<\/li>\n<li>A minimum of 6 to 8 years of experience assisting in administration, office management, accounting<\/li>\n<li>Experience in organising events<\/li>\n<li>Excellent verbal and written communications skills in French and English<\/li>\n<li>Excellent MS Office knowledge<\/li>\n<li>Outstanding organisational and time management skills<\/li>\n<li>Ability to anticipate needs and priorities<\/li>\n<li>Experience in handling sensitive information and situations that call for discretion<\/li>\n<li>Experience in managing a large and varied workload, requiring accuracy, efficiency, and flexibility<\/li>\n<li>Experience in handling complex circumstances that need careful negotiation and diplomacy<\/li>\n<li>Ability to work in an international environment.<\/li>\n<\/ul>\n<h2 id='how-to-apply'  id=\"boomdevs_1\">How to apply<\/h2>\n<p>Please apply here: <a rel=\"noreferrer noopener\" target=\"_blank\" href=\"https:\/\/erecruit.graduateinstitute.ch\/recrutement\/?page=advertisement_display&amp;id=567\">https:\/\/erecruit.graduateinstitute.ch\/recrutement\/?page=advertisement_display&#038;id=567<\/a><\/p>\n<p>We are an equal opportunity employer and value diversity at our company.
