Administration and Finance Manager

(National hiring based in Guatemala City)

AIM

Manage material and financial resources related to the Mission’s processes, monitor budget execution, cash flows, financial analysis, staff mobility and control of administrative expenses; ensure the timely supply of resources required for the implementation of operational projects and operation of Mission units.

JOB PROFILE

Specific studies and areas of knowledge

  • Bachelor’s degree in Business Administration – Finance (preferred), or related sciences.
  • Good knowledge of Office packages (Word, Excel, Lotus, PowerPoint), Internet.
  • Intermediate knowledge of English (oral, written, read).

Work experience

  • Proven work experience with at least 5 years of professional career in the fields of Administration, Finance, Logistics and Accounting.

  • Good initiative and problem-solving skills.
  • Excellent level of analysis and decision making.
  • Good negotiation and communication skills (to maintain a good network of contacts with suppliers and customers).

  • Empathy and ease of relating to other people.
  • Ability to organize, plan and manage time.
  • Availability to travel within and outside the country.

MAIN RESPONSIBILITIES (JOB DESCRIPTION)

Finance

  • Management of financial procedures (monthly closings).
  • Preparation of annual budgets.
  • Accounting and administrative reports.
  • Control of different accounting accounts.

General administration and premises

  • Monitoring the maintenance of the building occupied by the ICRC.
  • Coordination of property cleaning activities, payments, access, parking, visits and purchases.

Welcome

  • Maintains close communication with Welcome responsible for DRMEX and SAL.
  • Records, archives and manages general information of the Welcome department in an accurate and confidential manner.

IT

  • Support and organization of equipment purchases in coordination with IT MEX, inventory control.

Logistics

  • Purchase management in coordination with LOG MEX, review of procedures and administrative issues of vehicles.
  • Logistical support and assistance in matters of import and export of materials, field support for any logistics procedure.

Human Resources

  • Supports the Head of Mission in resolving conflicts or problems that arise regarding personnel.
  • Acts as HR focal point for resident staff, reporting concerns or questions to HR/MEX, communicating and ensuring compliance with institutional policies and HR procedures
  • Manages, coordinates and supervises the performance of colleagues under his/her supervision.
