CARE – INNOVATE – TOGETHER: Since its creation in 2009, ALIMA has treated more than 10 million patients, and is now operating in 12 African countries. In 2022, we have developed more than 60 humanitarian medical response projects to meet the needs of populations affected by conflict, epidemics and extreme poverty. All of these projects are carried out in support of national health authorities through nearly 511 health structures (including 47 hospitals and 464 health centers). We work in partnership, in particular with local NGOs, whenever possible in order to improve access and the transfer of skills that ensures the sustainability of our actions for our patients. In addition, to improve the humanitarian response, we are conducting operational and clinical research projects, in particular to combat malnutrition and viral hemorrhagic fevers.

THE ALIMA TEAM: More than 2,000 people currently work for ALIMA. The field teams, closest to the patients, receive their support from the coordination teams generally based in the capitals of the countries of intervention. These receive support from the 4 desk teams and the emergency and openings service team based at the operational headquarters in Dakar, Senegal. The Paris and New York teams actively work on fundraising as well as representing ALIMA. The rest of the ALIMA Galaxy includes individuals and partner teams who work on behalf of other organizations such as the medical NGOs BEFEN, ALERTE Santé, SOS Médecins, KEOOGO, AMCP-SP, DEMTOU-Humanitaire, the research organizations PAC-CI, Inserm, the Universities of Bordeaux or Copenhagen and many others.

CONTEXT

ALIMA’s programs are funded in their vast majority by donors: institutional donors, United Nations agencies, cooperations, private foundations, etc. Our main donors are ECHO, BHA, CDCS, AFD and others. ALIMA also leads projects in consortium with international NGOs and other partners or research institutes. Many of our donors and partners have representatives in the field, so the relationship with them is built directly from ALIMA’s country offices. Project financing, and therefore fundraising, is the responsibility of the mission, with the support of the operations teams and support teams in Dakar. A Donor Relations Manager is present in each country. At headquarters, a dedicated department supports the operational teams in their relationship with donors, particularly for monitoring calls for proposals, contractual monitoring, and official communication with the various donors. This department is part of the Operations Department and is composed of a Donor Relations Manager, a Donor Research Officer, a Grants Officer, and a Donor Officer per geographic desk. ALIMA also has a Development Department, based in Paris, Dakar and New York, responsible in particular for fundraising from private donors and foundations.

PROTECTION OF BENEFICIARIES AND COMMUNITY MEMBERS

Level 1 : The post holder will not have contact with children and/or vulnerable adults or access to personal data concerning them in the course of his/her work; therefore, a criminal record check will not be mandatory for this post, unless the content of the post changes, in which case the level of protection of vulnerable populations will have to be reviewed.

FUNCTIONAL AND HIERARCHICAL LINKS

Reporting hierarchically to the Head of Landlord Relations, you will provide support to the entire head office landlord team.

MISSION AND MAIN ACTIVITIES

1. Contribute to good contractual management and compliance with donor procedures:

  • Support compliance with donor contractual procedures and submit documents (proposals, reports) in the specific formats required by donors, as well as on online platforms.
  • Ensure regular updating of contract management tools, check the completeness of information and send reminders so that deadlines are met.
  • Ensure the completeness of the archiving of contractual documents.
  • Support due diligence procedures.
  • Provide administrative support to the finance department in the event of an audit and during the annual closing.

2. Contribute to the search for funding:

  • Ensure constant monitoring of calls for projects and support the search for new funding opportunities.
  • Prepare summaries of calls for projects and contribute to the collection and centralization of information on new funding opportunities, calls for proposals and donor guidelines.
  • Plan, organize and monitor arbitration meetings for calls for projects, as well as the drafting and distribution of the minutes of these meetings.

3. Support the various members of the team in reporting and donor relations:

  • Provide support for proofreading reports and project proposals.
  • Assist donor desk referents in the development of concept notes and project proposals, responding appropriately to donor requests.
  • Develop briefing notes and presentations to support preparation for meetings with donors.

EXPERIENCES ET COMPETENCES

Formation

With a university degree in political science, international relations or equivalent, you have initial experience in a humanitarian setting. You have a good knowledge of the project cycle, the logical framework and the main donors (EU, UN, etc.). You have excellent writing skills, good analysis and synthesis skills. You have teamwork and interpersonal skills. You are able to work in an emergency, independently and have a good command of the computer tools Word, EXCEL, Powerpoint.

LANGUAGES

Excellent written and oral expression in French and English

CONDITIONS

Contract length : Fixed-term contract under Senegalese law for 12 months

Position taking : 15 September 2024

Salary : Level 4 of the ALIMA internal grid
